Choosing your venue is one of the biggest decisions you'll make. It sets the mood, shapes your timeline, and often takes up a big chunk of your budget. But in the middle of all the excitement, it’s easy to forget the practical stuff.

Most venues will walk you through the basics, but there are a few key questions that couples often don’t think to ask. These are the things that can make a real difference to how smooth, stress-free and enjoyable your day turns out to be.

Here are twelve smart questions to ask on your venue visit, and why they matter.

1. What’s actually included in the hire price?
It’s not always obvious. Some venues include furniture, lighting, and even staff. Others hand you the keys to an empty space. Ask about chairs, tables, linen, sound systems, cleaning fees and anything else that could be an added cost. Knowing this early means you won’t be caught out when it’s time to finalise your budget.

2. Can we move between spaces throughout the day?
It’s worth asking how flexible the layout is. Can the ceremony be in one spot, drinks in another, and dinner somewhere else? Are there any areas that will be off-limits? A beautiful space is great, but it needs to work for the flow of your day. Also check what happens if the weather changes your plans.

3. How long do we get access to the venue?
Some places let you in the day before for setup and give you time the day after to collect everything. Others want you in and out within 12 hours. Make sure you know when you can access the venue, what time your suppliers can arrive, and when everything needs to be cleared away.

4. Are there any curfews or sound restrictions?
This is one of the most important ones to ask, especially if you want a live band or late-night party. Some venues have strict noise limits or must finish music early because of neighbours or licensing. Check if they allow amplified music, and if so, until what time.

5. What’s the backup plan if it rains?
If you’re planning anything outdoors, don’t assume the venue will automatically have a solid wet weather option. Ask where your ceremony or drinks reception would move to if it rains. Find out how quickly they can switch plans, and whether the alternative is just as suitable.

6. Can we bring in our own suppliers?
Some venues require you to choose from a preferred supplier list. Others are more flexible. Ask whether you can use your own caterer, florist, or planner. If not, check what options they provide and whether you can meet those suppliers before booking. Also ask about access for food trucks or mobile bars if that’s part of your plan.

7. What’s the parking and transport situation for guests?
If your venue is remote, you’ll need to think through how guests will get there and back. Ask how many parking spaces there are, whether coaches or taxis can get close to the entrance, and whether the venue has any recommended transport companies.

8. Is there a venue coordinator on the day?
Some venues include a coordinator who helps manage the running of your wedding. Others simply provide the space. Ask what level of support is available, whether someone will be there throughout the day, and what they’ll be responsible for. You need to know who’s in charge if anything needs fixing on the spot.

9. Are there any limits on décor or styling?
Venues often have rules about candles, hanging installations, confetti, or fixing things to walls and ceilings. Some may not allow changes to the existing décor or layout. Check this upfront so you can plan realistically with your stylist or florist.

10. Are there photo or video restrictions?
This is less common but worth checking. Some venues limit drone usage or access to certain areas. If there are standout spots you’ve seen online, ask whether you can actually use them. It’s also a good time to ask when the light is best for outdoor photos, especially if you want golden hour portraits.

11. What’s the payment schedule and cancellation policy?
No one likes to think about cancellations, but it’s important to understand the terms. Ask how much the deposit is, when the final balance is due, and what happens if you need to change your date or cancel. It’s better to ask now than be surprised later.

12. Is there anything we haven’t asked that you think we should know?
This might sound vague, but it often leads to honest, helpful answers. Venues know their quirks better than anyone, and this question opens the door for them to share tips, reminders, or small details that might not have come up otherwise.

Quick tips before you leave the tour
Take photos or quick videos of the space so you remember what’s where. Bring a notebook or your phone and jot down anything that jumps out. Ask to see a full example of a wedding timeline they’ve hosted recently, or even a floor plan, so you can visualise how things would run.
